Equinum is a boutique investment management firm providing personalized financial and investment solutions. We’re looking for a detail-oriented, organized, and proactive Administrative Assistant in our Brooklyn office to support our team with administrative,
client service, and bookkeeping work. This is an in office role.
Responsibilities:
- Prepare and pre-fill account paperwork (applications, transfer forms, advisory
agreements, investment policy statements, etc.) - Assist with preparing alternative investment subscription documents for clients
- Coordinate scheduling and calendar management for firm principals (including Zoom invites and meeting logistics)
- Communicate with Schwab and other custodians for service-related questions and follow-ups
- Update client information and notes in our CRM system
- Take and organize notes during select client meetings
- Input and organize client and family office data in spreadsheets and software systems
- Assist with simple portfolio data entry, copying figures into software or presentations
- Support bookkeeping tasks such as organizing statements, reconciling information, and tracking expenses
Qualifications:
- Prior administrative or bookkeeping experience preferred (financial services experience a plus)
- Excellent attention to detail and organization
- Strong written and verbal communication skills
- Proficient with Microsoft Office and/or Google Workspace
- Comfortable learning new systems (CRM, Schwab platforms, etc.)
- Reliable, professional, and team-oriented
